How can I take advantage of the FedEx Discounted Rate Program?

  1. Register for a VolVet Portal account at http://www.vet.utk.edu/diagnostic
    1. An email will be sent to you within 24 hours to setup your password.
    2. To use the FedEx Discount Rate program today, please call (865) 974-5771 for immediate account setup after registering for your Volvet Portal account.
  2. Logon the Online Ordering System at http://www.vet.utk.edu/diagnostic/ using your VolVet Portal username (email address) and password.

How do I obtain a FedEx shipping label?

An order for lab tests must be placed online at http://www.vet.utk.edu/diagnostic/ to receive FedEx discounted rates. Once the online order is placed, scroll to the bottom of the summary page to find the FedEx print button.

Does the practice have to call FedEx to request a pick-up?

Yes, the practice will have to call FedEx to request a pick-up. If pick-up service is not offered in your area or if the FedEx driver is unable to pick-up at the desired time, packages can be taken to the nearest FedEx drop-off location.

How is the practice billed for FedEx charges?

FedEx shipping charges will be included on UTVMC’s invoice. FedEx will not be invoicing the practice for packages sent to UTVMC Diagnostic Laboratory Services when placing diagnostic orders online.

Why is a VolVet Portal account required before placing orders online?

A VolVet Portal username and password must be used to log into the online ordering system. Your VolVet Portal account is linked to your clinic information and provides important information to UTVMC such as the veterinarians and patients associated with the clinic as well as billing and contact information.

Is there a charge to set up a VolVet Portal account?

No, there is no charge for setting up a VolVet Portal account.

What is VolVet Portal?

VolVet Portal offers referring veterinarians a quick and easy way to access their patients’ lab results and review progress notes on referred patients. Through this portal, the most current lab results can be compared with previous lab results providing a comprehensive view of the patient’s progress.

When do I use my VolVet Portal account username and password?

The VolVet Portal username and password is needed to sign into the VolVet Portal and to place diagnostic lab orders online. VolVet Portal and Online Ordering can be found at http://www.vet.utk.edu/diagnostic/.

Can a practice have more than one VolVet Portal account?

Preferably, each person in the practice that logs into the portal should have his/her own account for two reasons. If someone leaves the practice, UTVMC can be notified to cancel his/her access to the practice’s information without having to change the username and password for the rest of the staff. Secondly, with individual accounts the individual placing the online orders can be notified if there is an issue with the lab order. ***Please note that each account established must have a unique username (email address) and password.

Where can I go online to check the status of lab results?

VolVet Portal is where you will find new and previously submitted lab test results. Go to http://www.vet.utk.edu/diagnostic/, click on the VolVet Portal icon, login with your VolVet Portal account username and password. There are two tabs, Clinic Patients for progress notes on referred patients and Diagnostic Lab Service for lab results.

Will lab results still be faxed or emailed to the practice if a VolVet Portal account is set-up?

Having access to lab results through VolVet Portal will not change how lab results are currently being communicated to your practice. With VolVet Portal, you can compare recent lab results to any previous tests submitted on a patient.

Does the practice have to call FedEx and request a pick-up?

Yes, the practice will have to call FedEx to request a pick-up. If pick-up service is not offered in your area or if the FedEx driver is unable to pick-up at the desired time, packages can be taken to the nearest FedEx drop-off location.

What forms do I send in with the sample submission?

The online submission form must be printed and included with your submission. Once your order is placed, scroll to the bottom of the page and click on the "Print Viewable Form" button. This form is preferred if ordering online.

If a manual submission form is used, the order number must be written in the upper right-hand corner of the form. (example: Online Order #2413)

Can samples from multiple patients to multiple labs be combined in one package?

Multiple samples for multiple patients to multiple labs can be combined in one shipping package. A sample submission form must be included with each sample in a sealable biohazard bag.

What if some samples need cold packs and other samples in the same shipping package do not?

Bubble wrap or packaging material must be used to keep ambient samples separate from refrigerant packs and cold samples.

Should dry ice be placed in the shipping package to keep samples cold?

Refrigerant packs are preferred over dry ice. If a practice chooses to utilize UTVMC’s FedEx discounted rate program, the FedEx shipping label created when placing an order online does not allow the use of dry ice.

If I have additional orders, which FedEx label do I use?

Show shipping options page to choose from in OOS then explain.

If using FedEx for all your lab orders to UTVMC, select the "defer shipping label until other FedEx orders are completed" option on the shipping method page when placing your order. Then select "Combine all deferred FedEx orders and generate FedEx label" option on the shipping method page for the last order placed for that day. One label will be provided for all the orders placed and only one charge will be billed.

Can an order be placed online if samples are submitted by other means of transportation than FedEx?

Yes, orders can be placed regardless of how you choose to ship the package. Some practices choose to drop samples off, use the courier service if within the local area, or simply use another commercial courier than FedEx. If the practice prefers to use their FedEx account instead, the practice will need to choose "Deliver this order using your own shipping service" option on the Shipping Method page of the online ordering.

Will the practice be charged if an order has been placed but not shipped?

The package has to be collected by FedEx and received by UTVMC Diagnostic Laboratory Service before the practice is charged.

When is a patient considered an existing patient?

If diagnostic lab samples have been sent in to UTVMC Diagnostic Laboratory in the past, the patient can be searched by the patient’s first name or the owner’s last name. To avoid creating duplicate entries for the same patient, please search for the patient before creating a new patient.

Where can I find detailed information on lab tests offered by UTVMC Diagnostic Laboratory Service?

Lab test information is provided on the individual laboratory web pages. Go to http://www.vet.utk.edu/diagnostic/, select the laboratory department that processes the test then click on Test Information. Here you will find detailed information such as sample requirements, storage and shipping instructions, test method, any special instructions and pricing.

This information is also provided when you order a test online.
